Office Administrator [United Kingdom]


 

Security Management Services (SMS) Ltd is a family owned business with an excellent reputation in our field. We specialise in the maintenance, servicing and installation of multiple security disciplines, including the following: CCTV, Intruder Alarms, Access Control, Gate Automation, Emergency Lighting, Fire Alarms, AOV’s etc. With a 20-year heritage, we are keen to maintain our strong reputation and high level of customer service. Due to continued expansion, further administration support is required on a full-time basis, 5 days a week.

The role and responsibilities of the successful candidate will be as follows:

- Answering incoming calls and diverting/dealing with accordingly

- Sending out maintenance renewal letters to existing customers on a monthly basis

- Booking in maintenance calls, installations & emergency call-outs via the online diary, either over the phone or via email

- Processing engineer dockets and creating invoices on Sage to send to customers

- Quoting customers following any remedial suggestions on the engineer dockets

- Responding to all emails in a timely manner, ensuring all emails are responded to the same day

- Managing the admin from start to finish for any customer installations

- Ordering stock from suppliers and monitoring its progress

- Ensuring all parts are accounted for prior to any jobs booked for the following day

- Data entry onto the CRM database

- Creating new customer files and ensuring these are kept up to date

- Other ad hoc duties as required

The person specification would be as follows:

- Strong organisational skills

- Ability to remain calm under pressure

- Friendly telephone manner

- Happy to work alone on occasions

- Previous administration skills essential

Place of work - SMS Ltd Head Office - 78a Chapel Street, Thatcham, RG18 4QN

Hours of work - 9am to 5pm, Monday to Friday

Salary - based on experience

Holiday - 20 days per annum, plus Bank Holidays
